Guided SimplePractice migration
Changing systems does not have to mean starting over.
Upload your complete SimplePractice export ZIP inside PracticeRunner. The importer brings over supported clinical, contact, and billing records, then keeps the result reviewable before you rely on it in everyday work.
What comes with you
Bring the records that make starting again impractical.
PracticeRunner reads the supported materials in the export SimplePractice provides. It preserves the source context needed to review what was imported and how reconstructed records were created.
Supported records
- Client contact information
- Progress notes and psychotherapy notes
- Invoices, superbills, and statements
- Insurance information found in supported billing documents
- Other supported documents and forms
- Historical appointments reconstructed from available records
What the importer flags for review
- Because SimplePractice does not include calendar data in its export, the importer reconstructs historical appointments from invoice, superbill, and note dates when available.
- Reconstructed appointments without a reliable time or match are clearly marked for your review.
- Imported paid status preserves useful history but does not recreate payment-processor transactions.
- Couples, families, providers, billing contacts, and possible duplicate records may need matching or confirmation.
- The result depends on the contents and quality of the source export and is not guaranteed to be complete or error-free.
A reviewable transition
The software handles the mechanical work. You remain responsible for the final record.
- 1
Export from SimplePractice
Request a complete practice export, or export one individual or couple case at a time. If you want to test the waters, start with one or two clients and review the result before moving more.
- 2
Upload it in PracticeRunner
Choose SimplePractice under Settings → Data Import, then upload the ZIP. Processing continues in the background once it begins.
- 3
Review before relying on it
Check record counts, reconstructed appointments, relationships, billing history, and anything marked for attention. PracticeRunner support can review the result with you.
Finish the live-practice setup
Your history can move. A few choices about what happens next are still yours.
The importer handles the supported historical records. Before going live, you set up the schedules, intake materials, services, and booking path you want to use in PracticeRunner.
Create the calendar going forward
Set up your current and future recurring appointment schedules. The importer reconstructs historical appointments, so you do not have to rebuild the old calendar by hand.
Prepare intake documents and forms
Keep appropriate materials as PDFs or move their text into PracticeRunner's Markdown editor. Recreate questionnaires and fillable forms using the Forms editor.
Open the new front door
Set up your services and availability, configure the client portal, then replace your existing booking widget or redirect online booking to your new PracticeRunner portal.
No disappearing act
Migration should reduce re-entry, not conceal uncertainty.
PracticeRunner identifies records that need review instead of presenting reconstruction as certainty. The import is a practical head start, not a promise that two different systems store every record in the same way.
